Protecting important user accounts with MFA

googleGoogle Workspace allows you to protect access to your user accounts using MFA or 2 step verification. This is particularly important for administrator accounts. This article also describes how to do it using Google Authenticator.


Admin console

Start by logging on with an admin account.

  1. Click 9dots > Admin.
  2. Go to Security > Authentication > 2-step verification.
  3. On the left select an organisational unit or exception group as required.
  4. To allow users to use 2-step verification:
    1. Check Allow users to turn on 2-Step Verification.
    2. Choose Off for Enforcement.
  5. Click Save.

 

2-step verification

Now individuals on your Google Workspace can set up 2-step verification with their accounts.

  1. Click your avatar (top-right) and choose Manage your Google Account.
  2. Click Security in the left pane.
  3. In the Signing in to Google section, click 2-Step Verification.
  4. Click the Get Started button.
  5. Enter your password (if required).
  6. Click Continue.
  7. Click Send to send a Text message to your phone.
  8. Enter the 6 digit code sent to your phone and click Next.
  9. Click Turn On to finish the process.

This account is now protected with 2 step verifcation.

 

Google Authenticator App

Optionally, you can also set up your account to use the Google Authenticator app.

Start by installing the free TOTPAuthentication app for your mobile device.

  1. Open the App Store on your iPhone.
  2. Search for TOTP Authenticator.
  3. Install the TOTP Authenticator app.

Now you are ready to add this authenticator app option.

  1. Click your avatar (top-right) and choose Manage your Google Account.
  2. Click Security in the left pane.
  3. In the Signing in to Google section, click 2-Step Verification.
  4. In the Authenticator app section, click Set up.
  5. Choose your phone (Android or iPhone) and click Next.
  6. Using the app on your phone, add your account by scanning the QR code that's displayed and click Next.
  7. Enter the 6 digit code that you see displayed in the app on your phone and click Verify.
  8. Click Done to finish.

Now you can log in with either a text message, or by using the Google Authenticator app, both options will work.
