Email client for Nextcloud

nextcloudThis article describes how to configure Nextcloud to act as an email client when using Google mail services. The process is similar for other Mail servers.


Google Workspace configurations

The Nextcloud email client uses IMAP and SMTP protocols for retrieving and sending email respectively. Google considers Nextcloud to be less secure than using the Google client, so to make the experience as secure as possible, Google insists on the following steps.

  1. Log on to your Google email account.
    1. If you haven't already, make sure you've enabled Multi-Factor authentication (2-Step Verification) with your Gmail account.
    2. Go to your email settings, and select the Forwarding and POP/IMAP tab.
    3. Make sure that IMAP is enabled.
  2. Click your Avatar > Manage your Google Account.
    1. Select Security in the left pane.
    2. Click 2-Step Verification.
    3. Click App passwords.
    4. Enter something descriptive for the App name (e.g. NextcloudMail).
    5. Click the Create button.

You'll need the 16 character password (e.g. abcd efgh ijkl mnop) for the next step. This is a one time use password, that you do not need to keep a copy of.

 

Install the Mail app

Start by logging on to Nextcloud using your admin account.

  1. Click your Avatar > Apps.
  2. Search for Mail and enable this Featured app.

 

Configure the Mail app

You are now ready to configure the Mail app to accept your Google emails.

  1. Click the Mail app icon in the top bar.

  3. Select the Manual tab and enter the following details:
    1. Name: e.g. Steven Pryer
    2. Mail address: This email address is being protected from spambots. You need JavaScript enabled to view it.
    3. IMAP Host: imap.gmail.com
      1. IMAP Security: SSL/TLS
      2. IMAP Port: 993
      3. IMAP user: This email address is being protected from spambots. You need JavaScript enabled to view it.
      4. IMAP Password: Use password from previous step (e.g. abcd efgh ijkl mnop)
    4. SMTP Host: smtp.gmail.com
      1. SMTP Security: SSL/TLS
      2. SMTP Port: 465
      3. SMTP User: This email address is being protected from spambots. You need JavaScript enabled to view it.
      4. SMTP Password: (e.g. abcd efgh ijkl mnop)
  4. Click Save.

You should now be able to send and receive emails in Nextcloud, courtesy of your Google Workspace account.
